🧭 How we handle your visa: 6 steps

  1. Consultation and plan. We review your situation: purpose of the trip, job, relatives in the US, past refusals. We tell you honestly what your chances are and what to strengthen.
  2. Documents. We check your passport, job and income letters and tell you what is missing.
  3. DS-160 form. We fill it out with you; you re-read and confirm every answer.
  4. Fee and appointment. We help you pay the $185 consular fee and book the interview in Warsaw or Kraków.
  5. Interview prep. A mock interview with the questions you are most likely to get (Personal and VIP plans).
  6. After the decision. We explain next steps: visa pickup, travel, I-94. If refused, we review the reason and a plan.

📍 Where Ukrainians apply for a US visa

The U.S. Embassy in Kyiv is not offering routine nonimmigrant visa appointments (the State Department table shows “NA” for Kyiv). The State Department designated Warsaw and Krakow (Poland) as the places for Ukrainian nationals to apply.

  • You live in Ukraine or Poland – apply in Warsaw or Krakow.
  • You legally live in another country (e.g. Germany, Czechia) – you can apply at the U.S. embassy there, but you must show you reside there.
  • Appointment category in Poland. If you are neither a citizen nor a resident of Poland, choose a “non-resident” B1/B2 appointment. Residents of Poland choose “regular”.
  • Interview language. Warsaw: Polish, English and Russian. Krakow: Polish and English. You may bring an interpreter, but the embassy must be notified at least 7 business days in advance (support-poland@usvisascheduling.com).
  • Your passport with the visa comes back in 3–5 business days via the MBE courier in Warsaw or Krakow. A Friday interview usually means waiting over the weekend, so plan your stay.

  • For B1/B2 applicants who do not live in Poland (non-resident category), the embassy separately listed a wait of about 30 days in Warsaw and Krakow (update of April 13, 2026).
  • New slots are released regularly: after booking you can move to an earlier date if one opens up. The number of reschedules is limited.
  • The embassy recommends applying at least 3 months before travel and not buying tickets until the visa is in your passport.
  • Urgent travel (medical, funeral, urgent business) – you can request an expedited appointment, but not every request is approved.

💳 How to pay the $185 consular fee

The $185 fee is the same for B1/B2, student F/M/J, transit C-1 and crew D visas. Every applicant pays it, including children. It is non-refundable, even if the visa is refused.

  1. Create a profile in the official appointment system for Poland (USTravelDocs) and click “Start Application”.
  2. Choose the visa type and city (Warsaw or Krakow). The amount in zloty is calculated automatically at the State Department rate.
  3. Choose how to pay:
    • cash in PLN at any bank in Poland;
    • online with a card issued in Poland (PLN);
    • bank transfer (EFT) in PLN from any bank worldwide that supports it;
    • online in USD with a card issued in the USA (Elavon).
  4. Someone else may pay, but in the applicant’s name.
  5. Once the payment is credited you can book the interview. The payment can be used to book within one year.
  • If a payment seems stuck or failed – do not pay again, a second payment is not refunded. Write to support-poland@usvisascheduling.com.
  • A fee paid earlier in Ukraine cannot be transferred to Poland – you need to pay again.
  • As of October 26, 2026 the State Department fee page lists only $185 for B1/B2. If an additional fee is introduced, we will post it in the news below.

🆕 New application rules: what changed

  • Apply by nationality or residence. Since September 2025 the State Department requires interviews in your country of nationality or residence. For Ukrainians that means Warsaw and Krakow (or the country where you legally live). Fees paid for an appointment in the “wrong” country are not refunded, and qualifying there is harder.
  • Interviews for almost everyone. Only renewals of a B1/B2 that is still valid or expired within the last 12 months can skip the interview, if the previous visa was issued at 18+, there were no refusals, and you apply in your country of residence. Everyone else attends in person.
  • Your DS-160 number must match your booking. The barcode (starting with AA) must be the same as in your appointment profile, otherwise you will not be admitted. Submit the DS-160 at least 2 business days before the interview.
  • Social media. For F, M, J and some work visas, applicants are asked to set social media profiles to “public” for vetting.
  • Cash in Warsaw for consular services is accepted only in PLN; Krakow does not accept cash.

⚓ Seafarer C1/D visa and transit visa

  • D (crewmember) – for crew of commercial vessels and international airlines who work on board and leave the US on the same or another vessel within 29 days.
  • C-1 (transit) – for immediate and continuous transit through the US to another country. A seafarer flying to the US to join a vessel needs a C-1 in addition to the D.
  • C1/D – if you apply for both at once, the consul may issue a single combined C1/D visa (if the reciprocity schedule for your nationality allows it).
  • D-3 – a separate case for ship-to-ship liquid cargo transfer (lightering), up to 180 days.
  • Documents: passport valid at least 6 months beyond your stay, DS-160 confirmation, $185 fee receipt. The consul may ask for proof you are joining a vessel, e.g. a letter from your employer or crewing agent.
  • Timing: C/D appointments in Warsaw and Krakow are currently available in under 0.5 month (State Department data, Oct 21, 2026).
